b4b undertook a project for DWP Housing to develop and integrate an innovative app with a robust CRM system to manage tenant payments. The solution was designed to enhance the tenant experience, streamline administrative processes, and optimise rent payment management.

DWP Housing needed a comprehensive solution to manage tenant interactions and rent payments efficiently. The system required secure access, seamless payment processing, real-time data integration, and user-friendly functionalities to support both tenants and administrators.

To address these challenges, the b4b software team implemented several key features and functionalities:

App Development

The app developed by b4b serves as a centralised platform for tenants, offering convenient access to various functionalities: 

  • Rent Payment: Tenants can securely log in using a unique username and password to pay rent arrears via multiple payment methods such as Apple Pay, Google Pay, or card transaction. App registration is moderated by DWP Housing through a backend system to ensure security. 

  • Document Access: Important documentation signed by tenants is readily accessible within the app, providing transparency and convenience.

  • Property Viewing: Tenants can browse and view available rental properties, facilitating the search for suitable accommodations.

CRM System

B4b marketing implemented a comprehensive backend system to empower DWP Housing with efficient management capabilities: 

  • Tenant Management: DWP Housing can seamlessly approve or disapprove tenant sign-ups, update tenant details, and manage FAQs through the backend system.

Integration with OmniLedger

B4b marketing seamlessly integrated the app with OmniLedger's PyramidG2 Module, enhancing rent management capabilities: 

  • Real-Time Data Exchange: Through an API, the app communicates with OmniLedger to update rent arrears information in real-time. 
  • Automatic Updates: Tenant payments made through the app are pushed to OmniLedger's database, ensuring accurate and up-to-date payment data and rent arrears.

Integration with Docusign

B4b facilitated seamless document signing through integration with DocuSign, streamlining administrative processes: 

  • Efficient Document Management: Tenant information seamlessly transfers from our system to DocuSign, enabling DWP Housing to send electronic documents to selected tenants. 
  • Paperless Process: Once signed, personal documents are accessible for tenants to view and download within the app, eliminating the need for physical paperwork and reducing administrative overhead.

Integration with Wati (WhatsApp)

We implemented Wati, a customisable chatbot solution, integrated with WhatsApp, to streamline communication through the app: 

  • Dynamic Flow Management: Wati's backend system is configured with predefined conversation flows tailored to address common queries related to property management, rent payments, maintenance requests, and more. These flows guide users through a series of prompts and responses, ensuring a seamless and structured interaction.

The custom app and backend system we developed have significantly improved DWP Housing's operations. Tenants benefit from an easy-to-use app for managing rent payments and accessing documents, while DWP Housing enjoys enhanced administrative efficiency and financial transparency.  

Integrations with OmniLedger, DocuSign, and Wati ensure real-time data exchange, secure document management, and effective communication, ultimately providing a better service to tenants and improving overall operational efficiency.
