Introduction

peer2peer is the UK’s fastest-growing peer network for business leaders and entrepreneurs. They facilitate monthly 'Boards' where Members share ideas, expand their knowledge, and receive coaching to improve their businesses.

Seeking to streamline their operations, peer2peer approached b4b following a recommendation. Their goal was to develop a custom app and system that would make session information easily accessible to Members, digitise paper processes, such as onboarding Chairs and Members, as well as help peer2peer monitor Member attendance and record session data.

Developing a member management app for peer2peer came with several unique challenges:

The app needed to support multiple user flows (Chairs and Members) in one app each with distinct permissions and visibility settings.
a large volume of user information needed to be collected, stored securely, and made easily accessible for peer2peer.
As peer2peer grows, the app needs to handle increasing numbers of users, Boards, and data records.

App Design & UX Development

To ensure a seamless and intuitive experience for Chairs and Members, the app was designed with a user-first approach. Collaboration with peer2peer was integral throughout the process to ensure that the design and functionality aligned with their vision and operational needs.

The UI/UX design was developed using peer2peer’s branding guidelines, incorporating their official colour scheme and brand elements to maintain consistency. The app was designed with a minimalist and clean layout, reducing clutter and ensuring easy navigation.

Regular feedback sessions with the peer2peer team ensured that the app met their expectations and provided the best possible experience for users.

App Functions for Chairs

Chairs can create new Boards directly in the app.
They can schedule Board sessions, set time and location details, and structure a 12-month Runway using predefined Workshop titles set by peer2peer.
Chairs can invite Members to specific Boards via email.
The system automatically sends an invitation prompting Members to download the app, create a secure password, and complete profile details to view the Runway set by the Chair.
Chairs can view Member attendance details, ensuring better session planning.
Chairs can view Members’ Tasks Lists to check progress.
Chairs can view Members’ R.A.P sheet progress.
Move a Member to a different Board that the Chair also manages.

App Functions for Members

Members can indicate their attendance for upcoming Board sessions within the app.
Members can create a task list with deadlines and priorities, as well as mark them as done.
Members are required to complete a R.A.P sheet before and during each Board session. The app tracks R.A.P sheet completion status and allows Members to scan their physical R.A.P sheet information directly into the app with AI

Custom Panel Connected to App

The Panel allows peer2peer administrators to:

Invite and remove Chairs whilst limiting the number of Boards they can create. Peer2peer enters an email address to send an invitation, allowing the Chair to set up their account and create a secure password.
Create and manage Workshop titles that Chairs can select when structuring their own session plan (Runway).
Define industries and job titles that Members and Chairs can select during the registration process on the app.
Use masquerade mode to login as a user to help diagnose an issue or help input data.
Move Members to different Boards.

Result

Since launch, peer2peer’s member management app has helped to reduce administration time for peer2peer by streamlining critical processes such as onboarding Chairs and Members, tracking attendance, and tracking R.A.P sheet and task completion.

Data collection has also been significantly improved, ensuring that all relevant user information is stored and easily accessible and exportable through a centralised system. This allows peer2peer to maintain a comprehensive and well-organised record of Member participation and engagement, whilst improving overall accountability within the network.

With a structured and automated approach, Chairs now have better visibility into their Boards and Members than ever before, whilst Members now have a way of viewing Board information with ease and tracking their to-do list.

By leveraging this custom technology, peer2peer has strengthened its ability to scale its network whilst maintaining streamlined, data-driven oversight of its growing community of business leaders and entrepreneurs.
